IMPORTANT STEPS FOR GRADUATION CLEARANCE

 
STEP I
CASHIER CLEARANCE
 
Candidates must report to the Cashier’s Window to pay any outstanding balances. (Cashier’s Office closes daily at 4:45 p.m.)
STEP II
LOAN MANAGEMENT OFFICE CLEARANCE
 
Graduates who did not receive loans can skip this step. The Loan Management Office will automatically forward your clearance to the Office of Student Accounts.
 
Students who received loans and are graduating summer and fall 2009 should follow the steps below to complete the Exit Interview:
 
2.        Click on “Complete an exit counseling session with mapping your future.”
3.        Complete the Exit form and submit it electronically
 
 
Your clearance for this step will also be sent to the Office of Student Accounts after you successfully complete the Exit Interview.
 
If you are not able to complete the Interview online, please feel free to come into the Financial Aid Office for assistance.

STEP III
ALUMNI RELATIONS CLEARANCE
 
All candidates for Fall Commencement must report to the Development Office of Alumni Relations to complete the Alumni Registration Card and other requested material. You will receive an Alumni Relations Clearance Form. Please note that this office is located at 1023 Tuscaloosa Street. It is a red building positioned adjacent to the Band Practice Field.  
 
 
Take the Alumni Relations Clearance Form to the Office of Student Accounts, 16 Councill Hall.   You may complete the Alumni Clearance beginning on Monday, November 2, 2009 through Friday December 11, 2009.
 
ALL CLEARANCE FORMS MUST BE IN THE OFFICE OF STUDENT ACCOUNTS BEFORE THE CAP AND GOWN AND NAME CARDS WILL BE RELEASED. YOU MAY PICK-UP YOUR CARDS FROM STUDENT ACCOUNTS FROM WEDNESDAY, December 9, 2009THROUGH FRIDAY, December 11, 2009   
STEP IV
CAP AND GOWN PICK-UP
 
You may pick up your Cap and Gown at the University Bookstore. Caps and Gowns will be issued only to candidates who have been cleared by: a) Records and Registration, b) the Office of Loan Management, c) Alumni Office, and d) the Office of Student Accounts. YOUR CAP AND GOWN CARD AND A PICTURE I.D. IS REQUIRED TO PICK UP YOUR REGALIA. 
 
 
The schedule for issuance of caps and gowns is as follows:
 
Wednesday, December 9, 2009 - 8:30 a.m. – 4:45 p.m.
Thursday, December 10, 2009 - 8:30 a.m. – 4:45 p.m.
Friday, December 11, 2009- 8:30 a.m. – 5:30 p.m.
 
YOU MUST PICK-UP YOUR REGALIA BY 5:30 P.M. ON FRIDAY, DECEMBER 11, 2009. NO CAPS AND GOWNS WILL BE ISSUED THE MORNING OF COMMENCEMENT.
 
STEP V
PICKING UP DIPLOMA
 
After the conclusion of the Commencement Ceremony, graduates should report to the Academic Regalia Collection Station in the Alabama Room of the Hardy University Center. You will be asked to line up in alphabetical order to return your cap and gown. You will receive your VALIDATED Cap and Gown Card once you have turned in your regalia. 
 
After you have turned in your regalia, you are to proceed to the Diploma Station in the Alar Room of the Hardy University Center. Again, you will be asked to line up according to your last name. You are to present your Cap and Gown Card and picture ID card (driver’s license or ASU ID card) to the Office of Records and Registration personnel at the table who will verify your name on their graduation clearance list. Once cleared, you will be given an envelope containing your diploma. All regalia must be returned to Saturday, December 12th. Those who do not return their regalia on this date will be charged for shipping and handling ($25.00). 
 
Please Note: The Academic Regalia Collection Station and the Diploma Station will open after the commencement recessional for only two hours.
